It helps HEIs and R&D organizations get unprecedented visibility and reach at no cost, and thus facilitate access to the best talents for the newly open positions. The ads, submitted by the organisations awarded with HR Excellence in Research logo will be flagged with the logo to highlight the highest standards in HR practices in that organisation.

Practice setup

When setting up this practice, this should be kept in mind: 


  • establish the procedure for the whole process, define criteria for the selection to those open positions for which the internationally-wide promotion is useful. Depending on the current workload, allocate the owner of the process, the best choices being HR Department or IRO/welcome centre,

  • assign a person/department responsible for publishing job/hosting offers on the EURAXESS portal

  • define rules and procedures for assignments and work-hours allocation for translators (in case the job ads are initially prepared in the local language). Translators are required both for job ad submission and publishing the job details with the application procedure on the organizational website. The role of translators is crucial - misunderstandings arising from improper use of language may become liability issues for your institution.

  • ensure interoperability between local and EURAXESS job data definitions. The format of the job ad in the EURAXESS database is probably different than the one you maintain locally - check this in advance and ensure that there exist appropriate mappings to facilitate the smooth transformation of locally defined job ad to the format required for submission to the EURAXESS portal. In order to avoid any liabilities due to potential misinterpretation, collaborate with the legal department in this step,

  • register to the EURAXESS portal, create your organisation profile, and ensure that the job ad submission tool is available

  • prepare the bi-lingual template for local preparation of the job ad. Template structure should correspond to the structure of the job ad on the EURAXESS portal

  • train the staff of the HR department, in charge of submitting job ads to the EURAXESS portal. Engage with the IT support department and/or EURAXESS centre to facilitate the most effective training.

  • publishing job details on the organizational website and other places, as defined by the job advertisement procedure.

  • using the template and data interoperability templates to prepare the local language version of the job ad 

  • requesting the translation of the job ad, in the used template,

  • once the translation is delivered, submitting the job ad.
